The client

SabyTorial teaches senior secondary mathematics online to Australian students, led by educator Sabina Merchant. In about nine weeks (20 August to 22 October 2026), Data Experts 360 took the business from a written brief to a live platform: a public website, an interactive Readiness Check, online enrolment with payments, and sign-in portals for students, parents, tutors and admin. It launched on 6 October 2026, with Term 4 classes starting that month.

The challenge

SabyTorial had to launch a credible tutoring business in one school term, run by one educator with a small team, without the cost and weight of a full learning management system. A new brand had to earn parents' trust quickly. Families needed an easy path from "is my child ready for Year 11 maths?" to an enrolled, paid place. And one educator couldn't afford hours of admin approving payments, creating logins, scheduling Zoom classes and emailing families by hand.

The brief

What the Client Needed

Launch a credible tutoring business in one school term, without the cost and weight of a full learning management system.

01

Earn parents' trust quickly

A new brand with no web presence, built around Sabina as the face of the business: professional, academically credible, navy and teal.

02

Turn interest into enrolments

A low-friction path from "is my child ready for Year 11 maths?" to an enrolled, paid place.

03

Take admin off one educator

No more approving payments, creating logins, scheduling Zoom classes and emailing families by hand.

04

Protect the teaching materials

Worksheets and notes are Sabina's intellectual property, so they sit behind a login, watermarked.

05

Teach live online

Zoom classes with Sabina writing in OneNote, plus a guide that gets students ready for online class.

06

A portal for every role

Admin, Tutor, Parent and Student, each seeing only what they should.

07

Keep families informed

Automated emails for enrolment, payment, welcome, class information, reminders and follow-up.

08

Policies fit for school-age students

Enrolment Agreement, Terms, Privacy, Payment and Refund, and Cancellation policies suited to Australia.

09

Built to grow

A lightweight platform today that can grow into a full learning platform, with new cohorts, tutors and programs.

Family journey

From First Visit to Weekly Class

Every family follows the same self-serve path, with no sales call and no manual account set-up.

  1. 1

    Take the Readiness Check

15 questions, one at a time, in about 5 minutes, with no sign-up.

  2. 2

    Read the snapshot

Four maths habits rated, each with a tip, shown before any email is asked for.

  3. 3

    Enrol in five steps

First names only, live places per cohort, and every policy read to the end.

  4. 4

    Pay your way

Card, Apple Pay or Google Pay through Stripe, or a bank transfer with a receipt upload.

  5. 5

    Join the class

Approval creates the logins and welcome emails; students join Zoom inside the portal.

Our solution

One Platform for the Whole Business

Most routine admin now happens automatically. Scroll to move through each capability, one at a time.

  1. 01/06
    Readiness Check

    Value first, then the lead

A 15-question interactive check, one card at a time with a progress bar. The report shows straight away, before any email is asked for, because value builds trust.

    • Rates four habits: Have a Go First, Understand the Why, Find Why an Answer Was Wrong, Retain
    • Each habit rated Strength, Solid, Developing or Growth area, with a tip
    • Families can email themselves and a parent a copy
    • Every copy request becomes a lead in the admin portal
  2. 02/06
    Enrolment and payments

    Self-serve enrolment, no sales call

A multi-step enrolment form with validation and policy consents, then payment by card on the site's own Stripe page or by bank transfer.

    • Cards, Apple Pay and Google Pay through the Stripe Payment Element
    • Bank transfer with a receipt upload for admin to approve
    • Approving a payment creates the parent and student logins
    • Set-password and welcome emails are sent automatically
  3. 03/06
    Admin portal

One portal runs the whole business

Thirteen areas in one sidebar, with counters that flag what needs attention, so one educator can run enrolments, classes and families from a single place.

    • Students & Parents, Cohorts, Classes & Attendance, Resources
    • Classwork & Homework, Assessment Results, Payments, Leads
    • Notices, Newsletter, Team and My Account
    • Tutors are suspended, never deleted, so no teaching history is lost
  4. 04/06
    Teaching integrations

A timetable that keeps itself up to date

Classes, calendar invites and class notes are linked to Zoom and OneNote, so moving a week or ending a class updates everything else.

    • Admin sets up a cohort's weekly Zoom series from its class times
    • One recurring calendar invite per student, updated when a week moves
    • OneNote pages written in class are saved as pictures to student resources
    • Students join Zoom inside the portal, so the host link is never exposed
  5. 05/06
    Student and parent portals

Every role gets a portal built for its job

Students learn, parents stay informed and tutors teach, each from their own sign-in.

    • Students: next class, resources, homework hand-in, schedule and results
    • Parents: enrolment, invoices with printable receipts, notices and reports
    • Parents with several children switch between them from one bar
    • Tutors: rosters, resources, classwork, announcements and Zoom rooms
  6. 06/06
    Protected resources

    Teaching materials stay protected

Worksheets, solutions and notes are uploaded once for a cohort or all cohorts. Students view them watermarked inside the portal and can't download them.

    • View only, branded with the SabyTorial watermark
    • Private storage for receipts, resources and homework
    • Role-based access checked on every request

How we worked

Shipped in Short, Reviewed Cycles

Build, show the client, take their review notes, ship again, often within a day. The platform was taking enrolments by 6 October.

Reviews in the client's own tools

Word documents, Google Docs and an annotated PDF of the requirements specification (110 notes), each reconciled with Sabina's decisions before building.

Small, reviewed releases

Every change went through a pull request (44 merged) and was tested end to end on a private copy with sample data first.

Decisions written down

Domains, payment flow, readiness scoring and reminders were all recorded, so the build stayed consistent.

Plain-English copy

The client's copy rules applied site-wide, from no unexplained abbreviations to consistent wording of the teaching method.
